Property Inspections

The Inspections page includes two lists:

  • Incomplete inspections—This tab lists inspections on the device with one of the following statuses: Scheduled, In Progress.

  • Complete inspections—This tab lists inspections completed on the device only.

Tap Grid view or List view at the top of the list of inspections.

You can find existing inspections for a property that is on your device. See Properties for more information.

  1. If no inspections have been found yet, tap Fetch existing inspections in the middle of the Inspections page.

    OR

    If inspections exist on the device, tap Fetch in the upper right corner of the Inspections page.

    The Fetch existing inspections popup opens.

  2. Enter the property name, property number, city, zip code, or inspector to search by.

  3. Tap Find Inspections.

    The system returns a list of inspections for active properties on your device (where you are an assigned user) that match the search criteria, with a status of Scheduled or In Progress and with a selected Inspection Template.

  4. Tap to select the property for which you want to import inspections.

  5. Tap Fetch in the upper right corner.

    If the inspection already exists on your device, tap Back to cancel the operation or tap Continue to delete the inspection from your device and replace with the inspection on the server.

    The system imports the inspection information, including .jpg and .png image files associated to findings, to your device and navigates to the Manage inspection page.

You can also fetch inspections from the Manage property page.

  1. If no inspections have been found yet, tap Fetch existing inspections on the Manage property page.

    OR

    If inspections exist on the device, tap Fetch inspection on the Manage property page.

  2. Tap to select the inspection you want to import.

  3. Tap Fetch in the upper right corner.

    If the inspection already exists on your device, tap Back to cancel the operation or tap Continue to delete the inspection from your device and replace with the inspection on the server.

    The system imports the inspection information, including .jpg and .png image files associated to findings, to your device and navigates to the Manage inspection page.

You can start a new inspection for the property on the device.

Caution

Your ProLinkHFA user profile needs to have security privileges to create and update inspections to be able to upload inspections from the Procorem Inspect app.

  1. Tap Start new inspection on the Inspections page or the Manage property page.

  2. Select the property from the properties on your device.

  3. The inspection Start date defaults to the current date. You can change it if needed.

  4. The inspection Start time defaults to the current time. You can change it if needed.

  5. The Primary Inspector defaults to your name, if your name is in the Inspector list. You can select from active users (excluding ProLink and API Only users) with the "Property - Inspections - Modify" or "Administrative Modify" security privileges.

  6. Select the inspection Type.

    The inspection type must be configured for the property in ProLinkHFA (AM Characteristics). On the device, you can create an inspection of any type; however, the upload will fail if the inspection type is not required for the property in ProLinkHFA.

  7. Select the inspection Template.

  8. Tap Start inspection.

    The system creates and opens the Inspection record on your device. The inspection status is scheduled.

  1. Navigate to the Manage inspection page.

  2. Options include:

    1. Manage the property details.

    2. Edit the inspection details—Tap the Edit details link to open the Edit inspection details popup, where you can edit the start date, start time, and primary inspector until the inspection is marked complete. Be sure to Save details.

    3. Delete the inspection.

    4. Add a new inspection area.

    5. View and edit an inspection area.

    6. Complete an inspection area.

    7. Delete an inspection area.

    8. Assign or change the inspector.

    9. View and edit findings.

    10. View and edit attendees.

    11. View and edit the signature for the inspection.

    12. View the inspection score.

    13. View the inspection report.

    14. Upload the inspection.

    15. Complete the inspection.

  1. On the Manage inspection page, tap Edit details.

  2. Select from the list of inspectors available on your device.

  3. Tap Save details.

  1. On the Manage inspection page, tap Edit details.

  2. Tap Delete Inspection.

  3. Tap Delete Inspection to confirm deletion of the inspection record from your device. Any part of the inspection record not uploaded will be lost.

    Note

    This action only deletes the inspection from the device, not from ProLinkHFA. If you want the inspection deleted in the back office, you need to perform this action in ProLinkHFA.

Important

Your ProLinkHFA user profile needs to have security privileges to create and update inspections to be able to upload inspections from the Procorem Inspect app.

The inspection type must be configured for the property in ProLinkHFA (AM Characteristics). On the device, you can create an inspection of any type; however, the upload will fail if the inspection type is not required for the property in ProLinkHFA.

Uploading an inspection sends the Inspection record to ProLinkHFA. If you created the inspection on your device, the system creates and saves the inspection in ProLinkHFA. If the inspection already exists in ProLinkHFA, you have the option to:

  • Overwrite the data—Create areas on the device that are not in ProLinkHFA, replace areas that exist in ProLinkHFA, and delete areas ProLinkHFA that are not on the device.

  • Merge data—Create areas on the device that are not in ProLinkHFA and replace areas that exist in ProLinkHFA.

When uploading an inspection with photos associated to the findings for an existing inspection, all photos (files) in ProLinkHFA are deleted before any photos from the device inspection are uploaded.

The upload process also updates high-level inspection details (Assigned Inspector, Inspection Status).

  1. Navigate to the Manage inspection page.

  2. Tap Upload.

  3. If the inspection already exists in ProLinkHFA, select how to upload the data:

    • Select Overwrite all inspection data.

      OR

    • Select Merge the inspectable areas.

  4. Tap Cancel to cancel the operation or tap Upload inspection to continue with the upload process.

    The upload process begins, uploading inspection data to ProLinkHFA. A progress message is displayed; do not close or reload the page.

  5. Tap Done when you get a message of success.

Areas

For each area on the device, a new area is created in ProLinkHFA.

For each area on the device that does not exist in ProLinkHFA, a new area is created.

For each area on the device that already exists in ProLinkHFA, the area is deleted and replaced.

If an overwrite is selected, all areas are deleted first.

Inspection Items

A record is created for each inspection item.

If no findings are associated, the observation is set to No Finding or N/A, as indicated.

If this is a new area to ProLinkHFA:

  • A record is created for each inspection item.

If this is an existing area in ProLinkHFA:

  • All inspection items are deleted first.

  • A record is created for each inspection item.

  • If no findings are associated, the observation is set to No Finding or N/A, as indicated.

Findings

A record is created for each finding.

If this is a new area to ProLinkHFA:

  • A record is created for each finding.

If this is an existing area in ProLinkHFA:

  • All findings are deleted first.

  • A record is created for each finding.

Photos

Each photo associated to the finding on the device becomes a file attachment associated to the finding in ProLinkHFA.

If this is a new area to ProLinkHFA:

  • Each photo associated to the finding on the device becomes a file attachment associated to the finding in ProLinkHFA.

If this is an existing area in ProLinkHFA:

  • All existing photo file attachments are deleted along with the existing findings.

  • Each photo associated to the finding on the device becomes a file attachment associated to the finding in ProLinkHFA.
